Administrative Assistant

($15.00 per hour)

 

Summary of Position

 

The Administrative Assistant manages the day-to-day administrative operations of the main office, primarily in support of manufacturing, accounts and including acting as receptionist and first point of contact; maintaining databases, master lists, statistics, and essential files; and assisting as needed in other departments.

 

Duties & Responsibilities

 

  • Maintains neat, orderly, and inviting lobby for visitors and guests.
  • Greets all visitors and guests; answers the phone and directs calls to appropriate person(s); receives guests; directs truck drivers to proper pick-up or delivery locations.
  • Manages a variety of company files, records, logs and inventories.
  • Performs day-to-day administrative operations such as checking email, gathering mail, distributing packages.
  • Gather manual production reports.
  • Print out daily production reports Wrapper, Machine, Rewinder, Salvage Winder from the Production program.
  • Verification of manual reports against computer reports for paper machines #1, #2 and Salvage winder.
  • Check for errors and make any corrections to weights, grades, customer codes, diameters, ply etc. to have both copies match.
  • Update production program tables when necessary to ensure the data match’s reports.
  • Enter information into Customer Change log.
  • Communicate with Area Leader to make sure errors are addressed with the operations teams.
  • Communicates with remote accounting team when reports are ready to be run.
  • Gather shipping documents and send to appropriate individuals, including customers and the accounting team for invoicing.
  • Verify invoicing and other tasks related to accounts receivable.
  • Other accounts receivable responsibilities as necessary.  
  • Perform accounts payable tasks as necessary.
  • Assist with employee scheduling as necessary.
  • Assigned to special projects as needed.

 

 

Qualifications

 

  • 5+ years administrative experience
  • Detail oriented with good analytical skills a must
  • Proficient in QuickBooks, preferred
  • Proficient in data entry.  In particular; Excel and Word and have some knowledge of Access
  • Able to communicate with co-workers and customers, vendors in a professional manner both verbally and electronically.
  • Ability to write, speak, and interact clearly and professionally
  • Must be able to follow standard filing procedures
  • Ability to work in a very fast-paced environment with frequent interruptions
